Going Green Delivers Positive Impact to the Bottom Line

Have you noticed either of these statements on the bottom of email messages, or attached documents?

It seems like everyone is talking about going green, but you do have to balance the benefits with the costs  - changes have to make fiscal sense, after all.

As we become more focused on recycling, conservation, and the footprint we leave on Planet Earth, we here at UniFund have a green idea for you. This suggestion will not cost you anything - indeed, you will save time and money.

Save documents for easy retrieval if and when you need them - you'll save on supply expenses, and you'll save personnel expense dollars as well. And, to top it off, you'll significantly reduce the amount of waste paper, toner cartridges, and storage materials you dispose of every year.

In BudgetSense, you can elect to save any document as a PDF document, rather than sending it to your printer.  (Everyone has ready access to Adobe Acrobat Reader, which is a free download from the Adobe website, so they can read PDF documents and print them only if necessary.) Create and implement a process to save all these documents in a secure folder on a local or network workstation (one with plenty of available disk space), and add that folder to your current backup routines.

No printing, no paper, no filing - and no rooms full of filing cabinets, or overstuffed desk drawers, either!

For example, do you print employer copies of W-2s and 1099s every year? Save and store each batch as a PDF - they'll be much more secure, and you'll be able to print individual copies whenever you need them.

Benefits to You  

It's really a no-brainer. Implement this simple process, and you'll save:  

Money
: Stop wasting precious supply dollars on hanging files, file folders, binders, labels, filing cabinets,  toner, and of course, copy paper. Did you know that every page you send to the printer costs about three cents to produce? That's just for the paper and toner - never mind the wear and tear on your printer.  It's not unreasonable to assume that as many as 100,000 pages are printed every year in your office. Eliminate unnecessary print jobs, and you could easily save $3,000.00 this year, in printing costs alone.

Time
: You must have more critical tasks to complete. Do you really want to have to wade through filing cabinets full of paper to store new documents, or to find what you need?

The Environment
: Eventually, you shred and toss all that paper. Sure, it can be recycled, but the damage has already been done.

 

Let's stop using our natural resources when we just don't have to.
