Efficient inventory monitoring and depreciation of general fixed
assets
The BudgetSense® Fixed Assets module is designed to inventory,
report on and depreciate general fixed assets, as required by
GASB Statement 34, and other miscellaneous assets that may be under
your capitalization threshold, but are important for your record keeping.
Simple, Integrated Solution
Fixed Assets operates either as a stand-alone system
or as an integrated component in the BudgetSense suite of modules.
Simply define your organization’s criteria for a fixed asset,
by dollar threshold and account segment, and the Accounts Payable
system will automatically capture any item purchased that meets the
criteria and create a record in the Fixed Assets module.
Comprehensive Database
The Fixed Assets module provides a comprehensive database that tracks
a wide variety of asset-related information. Basic asset information
and purchase details (account charged, check number, purchase order
number, vendor, etc.) are delivered automatically from the Accounts Payable
interface. Additional data, such as classification, serial number,
warranty and depreciation method may be recorded later through Fixed
Assets.
Logical Screen Design
BudgetSense Fixed Assets is designed with a logical central screen
that helps you maneuver through a large amount of data with ease.
Item descriptions, purchase information, serial numbers, and warranties
are all easily accessed on one of the main data tabs. Database lookups
can be done in seconds, searching by any field or part of a field.
Time-Saving Inventory Bar Coding
Perhaps the most labor-intensive part of keeping your Fixed Assets
database current is actually performing a physical inventory count.
BudgetSense streamlines this time-consuming process with an electronic
interface to a bar code reader device. Bar coding allows your facilities
staff to quickly scan all assets, room by room, and then upload the
data files directly into BudgetSense. The Fixed Assets software then
produces exception reports to highlight missing or transferred assets.
Easy Reconciliation
The reconciliation utility helps you reconcile your fixed asset inventory
with the purchasing records. Variances are illustrated on exception
reports for investigation and adjustment as necessary by your organization’s
accounting staff.
