Kurtis Johnson, Business Manager of Blackstone Valley Technical School, no longer dreads the drudgery of producing his annual Massachusetts End of Year Financial Report, thanks to UniFund's ExcelSense. Now instead of taking several weeks of his executive time to complete this yearly task... he can now produce the entire report package in less than two days!
ExcelSense, the built-in advanced financial reporting tool in BudgetSense, feeds Kurtis' financial data directly into the state-provided MA DOE End-of-Year Schedules Excel templates.
Setting up the ExcelSense definitions does take a bit of time initially, Kurtis states. "I probably spent a few days just once to build my definitions. It was helpful to have a chart of accounts which was well defined, with the correct state account codes. This was time very well spent, because now, with the push of a button, I can get a complete report populated which ties back to my detail in General Ledger."
Beyond just state reporting, Blackstone Valley Tech has found ExcelSense to be useful in several other areas too. They have used it to create roll-up budget development reports that are presented to the School Committee, and ultimately to print the district's budget book for the new year. As Kurt puts it, "You can basically use ExcelSense to automate any type of financial report you need...with wildcards to roll-up detail to summarized data. You just create the spreadsheet in Excel, and then simply push the button to publish the data immediately."
In addition to the time Kurt himself has saved, he says he has also eliminated days of labor for his administrative staff, because he no longer needs their manual assistance to produce his supporting financial worksheets. Overall, Kurt feels that ExcelSense saves him more than $5,000 every year in labor for himself and his staff. But the real value, Kurt points out, is that this has freed up valuable management time for him to focus on the more important tasks in the running of his district.
