SAU57 Saves Hundreds of Hours Processing Leave Requests

School Administrative Unit #57 in Salem, NH had a huge payroll challenge every pay period. The hurdle facing the district:  how to process time and attendance data for 750 employees, with a staff of one.

Each pay period, Salem’s payroll specialist worked at a breakneck pace to input all employee leave transactions, and related substitute pays, in a timely fashion.  As a result, Salem was constantly in “reactive” mode to respond to employee’s questions about leave balances or absences.
 
Also, when employees called in to a substitute coordinator to request sick or personal leave, the hectic chase was on to make often dozens of phone calls to locate a sub, most times, on very short notice.  Frequently, absences were not covered because there was not enough time to contact all the substitutes.
 
Cindy Palermo, Salem’s Director of Human Resources, reached out to AESOP and then to UniFund to see if there was a better way to deal with this growing and costly problem. What she found was that AESOP’s substitute placement solution, coupled with BudgetSense Payroll, was just the right solution for Salem’s leave processing challenges.
 
The new plan allowed Salem to transition from a stressful reactive posture of handling substitutes, to a painless proactive approach.  Now, when an employee is ill, or needs to take a personal day, they simply access the AESOP online system to record their absence. AESOP immediately begins to contact potential substitute replacements to cover the work. Also, because leave data is available in real time, substitutes have an up-to-date view of where they might be needed.

Now administrators, employees, and substitutes have 24 / 7 access to know where coverage is needed. The leave entries that ultimately result from all this activity are then posted electronically to BudgetSense, and update each employee’s personnel record.
