Improve Your Workflows

It seems obvious. Working wisely saves time and money.

That's easy to say, but so often we just don't know where and how to start. Where are the duplicated efforts, and how can we correct them? We can identify processes and responsibilities, but the hard question is whether there is a more efficient way. And if a workflow involves multiple departments, the issues can be even more complex.

Workflow review identifies areas to improve, whether by consolidating software packages or by eliminating manual entries by multiple departments.  Set your goal to review one process a quarter; by the end of the year it will be easy to see the savings in time and money.

Consider, for example, the workflow you follow to hire employees.

The Business Manager at one of our client sites recently reported how they uncovered an inefficiency in their hiring process, that impacted all departments, district wide.  Hiring managers typically had to visit a central location where all resumes were kept, organized by job description.  This process seemed to be well organized, and the Human Resource Administrator was undeniably proficient in controlling the flow of applicants – a well-oiled machine.

When reviewing the district New Hire reports, the Business Manager discovered something odd; the majority of new hires' last names were from the first half of the alphabet.  Coincidence maybe? Not really - it turns out that hiring managers were so overwhelmed by the quantity of applications that they limited their search to the first resumes in the file. And, you guessed it - all resumes were very efficiently filed, alphabetically.

What if the perfect applicant was in the remaining unseen resumes?
Isn't there a better way to maintain access to your applicant inventory?

Did you know that BudgetSense offers Applicant Tracking functionality in the Human Resources module, that follows applicant data from receipt of the resume through hiring of the employee? All applicant profiles and documentation are stored in the BudgetSense database, so that your managers can view (and more importantly, sort) records based on qualifications and experience. The most qualified applicants can spring to the front of the Must See list, regardless of their last name!

And, when an applicant is hired, it's just a few mouse clicks to transport all their data to the Payroll module, so that you don't have to enter it all over again.

How many redundant steps would that remove from your current process? And how much value was created by selecting the best candidate for the job?

Race to the top!
